BOOKING & CANCELLATION CONDITIONS
The International Osteology Symposium Vienna 2026 (the "Congress") is organized by the Osteology Foundation (the "Organizer"). The Organizer has appointed Mondial Congress & Events (the "Agency") as an external service provider for handling registrations on its behalf.
By completing a registration, you (the "Participant") agree to the terms and conditions outlined below, which constitute a legally binding agreement.
1. INDIVIDUAL REGISTRATION
a. Registration fees & payment terms
- Registration fees are charged in Euros (€) and include VAT where applicable.
- The applicable fee is determined by the date of payment, not the date of registration.
Registration & Payment Deadlines:
- Early Registration Deadline: 16 January 2026, Payment due within 10 days
- Late Registration and Payment Deadline: 14 April 2026, the day of payment is decisive for the registration fee.
- The Organizer reserves the right to cancel or modify your registration if payment is not received by the respective deadline, or if the chosen registration fee category does not match your eligibility.
b. Visa Letters
- A visa invitation letter may be requested during the registration process or via email at osteology@mondial-congress.com.
- Please note that visa denial does not entitle you to a refund.
c. Modification Policy
- All modification requests must be submitted in writing to: osteology@mondial-congress.com.
- An administrative fee of €30 applies to each modification (e.g. name or invoice changes, correction of double registrations) received on or before 26 March 2026.
- No modifications will be accepted after this date.
d. Cancellation policy
- Cancellation requests must be made in writing to osteology@mondial-congress.com.
- Refunds will be processed after the Congress.
- Cancellation will be accepted up to 21 March 2026, with a refund of registration fee paid minus a 30% administration charge.
- No refunds will be issued after 21 March 2026
2. ATTENDANCE
Participants must be at least 18 years of age.
Programme
- Unless otherwise specified, all sessions are conducted in English.
- The Organizer reserves the right to modify the programme at any time. Programme changes do not entitle Participants to any refund or compensation.
- Should external circumstances (e.g., force majeure) prevent or significantly impact the in-person event, the Organizer may convert the Congress to a digital format. All registrations will remain valid, and no refunds will be issued due to the format change.
- The Organizer is not liable for any direct or indirect costs incurred due to such changes (e.g. travel or accommodation).
Badges
- Lost badges will be replaced for the full on-site registration fee.
- Forgotten badges can be replaced upon payment of a €100 deposit, refundable upon return of the original badge.
Rules and regulations
- Participants must comply with all rules and regulations set by the Organizer and on-site staff.
- Current regulations will be communicated via email and published on the official Congress website: https://www.osteology-vienna.org
Intellectual property
- Recording, reproducing, or commercially using any audio, video, or visual content from the Congress is strictly prohibited without prior written consent from the Organizer.
Photography & Video Consent
- By attending, you consent to being photographed and filmed during the Congress.
- These materials may be used in future promotional or educational materials without restriction.
2. GROUP REGISTRATION
The terms and conditions outlined in Section 1: Individual Registration also apply to group registrations, unless otherwise specified.
In addition to the above, the following terms apply:
- A name list of all participants must be submitted to osteology@mondial-congress.com using the official Excel template provided by the Organizer, no later than 26 March 2026.
- Participant information can be updated via the Group Portal until 09 April 2026, 17:00 CEST.
- No further changes to the group registration will be accepted after this deadline.
3. ACCOMMODATION
Individual Booking (1 room):
The booking is made directly via the online booking portal HotelMap (https://hotelmap.com/MKZZC) at the rates and conditions mentioned. The booking is independent of Mondial Congress & Events.
For any inquiries or changes, please contact the support team of the booking platform.
General Terms for Group Bookings (2+ rooms)
Mondial Congress & Events is the official housing partner for group hotel bookings rooms (2+) for this congress.
All group bookings (2+ rooms) are arranged in the name and on behalf of the selected hotel and are handled independently of congress registration.
All prices are stated in Euro (EUR) and refer to the total cost of the selected stay, including breakfast, VAT, and any applicable legal charges, unless otherwise specified. If statutory taxes, fees, or levies increase after booking, the additional amount will be added to the final rate.
The number of nights booked is binding and will be used as the basis for your hotel invoice. In the event of a no-show or early departure, the hotel reserves the right to charge for all nights booked.
Booking Conditions for small group bookings (2-9 rooms)
- Require full prepayment in advance.
- Cancellations received by 08 January 2026 will incur a €30 administrative fee per room.
- Cancellations received after 08 January 2026 may incur a charge equivalent to all nights booked at the discretion of the hotel. No administrative fee applies.
- Only written cancellations via email to osteology@mondial-congress.com will be accepted.
Booking Conditions for large group bookings (10+ rooms):
- Are subject to separate terms and conditions defined in individual contracts.
4. FORCE MAJEURE
The Organizer is not liable if the congress is, in whole or in part, cancelled, rescheduled or postponed, or for any failure or delay to perform the obligations of the Organizer under these terms, if such event results from anything beyond the reasonable control of the Organizer (e.g. natural disasters, flood, riots, fire, flooding, acts of terror, war, labour strike, extreme weather, communicable disease such as epidemic or pandemic, malicious damage, compliance with any law or governmental order, or mechanical, electronic or communications failure or degradation, or any other emergency) or anything else that renders performance of the congress, in whole or in part, impracticable, illegal or impossible.
5. LIABILITY
To the extent permitted by applicable law, the Organizer disclaims all warranties or conditions, either express or implied, or any part of them in respect of any aspect of the congress. You acknowledge and agree that in accepting these booking and cancellation conditions you have not relied on any representation or warranty that is not expressly included in these booking and cancellation conditions, and you agree that you shall have no remedy in respect of any misrepresentation which has not become a part of these booking and cancellation conditions. To the fullest extent permitted by applicable law, the Organizer excludes any liability for any damages, loss, injury, or liability whatsoever suffered out of or in connection with the congress and these booking and cancellation conditions.
Nothing in these booking and cancellation conditions purports to exclude or limit liability for gross negligence or wilful intent or in respect of any liability that cannot be excluded or limited under applicable law. Only written agreements shall be valid. The place of jurisdiction shall be Vienna.
