EGU 2025 - BOOKING & CANCELLATION CONDITIONS

Mondial Congress & Events reserves the right to change or cancel your bookings, in case you fail to make payment or provide a valid credit card guarantee in due time.

All handling/modification fees stated (for early cancellations and name changes) are net, before any VAT.

For all prices stated: In the event that new, higher legal charges are introduced, these will be added to the contract price.

Any refunds will be made after the congress.


ACCOMMODATION
All prices are stated in Euro for the total selected stay incl. breakfast, service charges and VAT.

Individual hotel bookings (1-2 rooms) can only be confirmed upon receipt of a valid credit card guarantee (must be valid at the time of the congress).
Small group bookings (3-9 rooms) can only be confirmed upon receipt of the full prepayment or a valid credit card guarantee (must be valid at the time of the congress).
The payment and cancellation conditions for large groups (10+ rooms) are arranged within individual contracts.

The following conditions apply to individual hotel bookings and small group bookings (1-9 rooms):

Your booking is binding and can only be confirmed upon receipt of a valid credit card guarantee (must be valid at the time of the congress) respectively upon receipt of the full prepayment. As soon as Mondial Congress & Events has received this, a confirmation will be sent by e-mail. It will confirm the name of your hotel, the duration of your stay and the total amount of your booking.

For cancellations received by January 20, 2025, (for Arcotel Kaiserwasser + Ibis Wien City), the other hotels February 21,2025 the given credit card will be charged with a cancellation handling fee of EUR 36,- , respectively the prepaid booking costs will be refunded less a cancellation handling fee of EUR 36,- . For cancellations received after this date the given credit card will be charged with the amount of two nights respectively the prepaid booking costs will be refunded less the amount of two nights.
Only written cancellations can be accepted.

For name changes, a modification fee of EUR 12,- will be charged.

The number of nights booked is binding and will serve as the basis for your hotel invoice. In case of a no-show or early departure, the hotel may invoice all nights booked.

The hotel and Mondial Congress & Events are entitled to charge the given credit card with the amount resulting from the booking and cancellation conditions.

Credit Card Guarantee:
The credit card guarantee (together with your booking details) will be forwarded to the selected hotel. The booking is to be paid upon arrival at the hotel. The hotel reserves the right to test the credit card by pre-authorising one or all nights booked after the cancellation deadline respectively shortly before the arrival of the guest.


CONGRESS ATTENDEE CANCELLATION INSURANCE
The fees for the cancellation insurance are stated and cashed in Euro.
Mondial Congress & Events acts as mediator only. The contract will be concluded between the delegate and Europäische Reiseversicherung AG. The fees for the cancellation insurance are cashed and invoiced in the name of Europäische Reiseversicherung AG.

Due to administrative reasons fully paid cancellation insurance premia cannot be refunded. 

LIABILITY
Mondial Congress & Events will not assume any responsibility for accidents, losses or damages caused by whatever reason. No claims for indemnification from Mondial Congress & Events shall arise for companies and participants should the congress be cancelled caused by unforeseen circumstances. Participants are advised to take individual personal travel and health insurance for the trip. This can be done through our partner, Europäische Reiseversicherung.
