The above-mentioned congress is organized by European Academy of Esthetic Dentistry. The organizer appoints an external partner (Mondial Congress & Events) to perform registration services on their behalf.

Completing your booking constitutes a binding agreement on the booking conditions stipulated below.

1. INDIVIDUAL REGISTRATION

a. Registration fees

Fees are charged in Euros and include VAT if applicable. 

Deadline for online registration is Tuesday, May 26th, 2026 (as long as seats for the congress are available and the congress is not sold-out before). For registration after this date, your confirmation will be available on-site at the registration counter. Registration on-site is possible throughout the entire congress during the registration counter’s opening hours (only if not sold-out before).

The organizer reserves the right to modify or cancel your registration if payment is not received on time or if you do not qualify for the selected registration fee. 

A Visa Invitation Letter can be requested during the registration process or via email. Visa rejection does not qualify for a refund of your registration fee.

b. Modification

Modifications must be made in writing to eaed@mondial-congress.com.

Administrative Fees: A EUR 30 administrative fee applies to each modification (e.g. invoice change, name change, double registration) received by March 27th, 2026. No changes are possible after.

c. Cancellation

Cancellations must be made in writing to eaed@mondial-congress.com. Refunds are processed after the congress. 

Administrative Fees: A 50 EUR administrative fee applies to each cancellation received by March 27th, 2026 Registration fees are refunded minus the administrative fee. No refunds are made after.

d. Participation in the congress

Delegates must be at least 18 years old.

Unless otherwise specified, all sessions are conducted in English.

Programme: Delays or modifications in the programme, caused by whatever reason or in whatever scope, do not entitle to reimbursement of any costs including registration fees.

The organizer reserves the right to provide the programme in digital format only in case external circumstances beyond the organizers control prevent or materially impact the holding of the in-person congress at the designated venue. All in-person registrations remain fully valid for the digital format. The organizer is not liable for any direct or indirect costs that may occur.   

Intellectual property rights: Recording, reproducing, or commercially reusing any visual or audio content from the congress is strictly prohibited. 

Photo and video: Photos and videos are taken during the congress. By participating, you consent to use of these recordings in any media without time, location, or content limits unless you object at the time of recording.

Rules and regulations: Without exception, you agree to comply with all rules and regulations set by the organizer or staff. All necessary regulations are communicated to delegates via email and published on the congress website

2. ACCOMMODATION

General Terms

Mondial Congress & Events has been appointed as official housing agency. Hotel bookings are managed in name of and on behalf of the hotel, and are independent of the congress registration.

All prices are stated in Euro for the total selected stay incl. breakfast, legal charges and VAT, if not specified otherwise. If higher legal charges are introduced, these will be added to the rates.
The number of nights booked is binding and will serve as the basis for your hotel invoice. In case of a no-show or early departure, the hotel may invoice all nights booked. 

Individual hotel bookings (1-2 rooms) require a credit card, valid the time of the congress, as guarantee. A booking confirmation with name of your hotel, duration of stay and total amount is sent.

Small group bookings (3-9 rooms)  require full prepayment. A booking confirmation with name of your hotel, duration of stay and total amount is sent.

Conditions for large groups (10+ rooms) are arranged within individual contracts.

Cancellation terms for rooms at Majestic Hotel & Spa:

A 30 EUR administrative fee per room applies to each cancellation received by November 21st, 2025.

Important: For cancellations received after this date the hotel is entitled to charge the amount of all nights as cancellation fee.

Only written cancellations are accepted. 

Cancellation terms for rooms at Alexandra Hilton:

A 30 EUR administrative fee per room applies to each cancellation received by January 20th, 2026.

Important: For cancellations received after this date the hotel is entitled to charge the amount of all nights as cancellation fee.

Credit Card Guarantee

The credit card guarantee (together with your booking details) will be forwarded to the selected hotel. The booking is to be paid upon arrival at the hotel. The hotel reserves the right to test the credit card by pre-authorising one or all nights booked after the cancellation deadline respectively shortly before the arrival of the guest.

3. FORCE MAJEURE

The organizer is not liable if the congress is, in whole or in part, cancelled, rescheduled or postponed, or for any failure or delay to perform the obligations of the organizer under these terms, if such event results from anything beyond the reasonable control of the organizer (e.g. natural disasters, flood, riots, fire, flooding, acts of terror, war, labour strike, extreme weather, communicable disease such as epidemic or pandemic, malicious damage, compliance with any law or governmental order, or mechanical, electronic or communications failure or degradation, or any other emergency) or anything else that renders performance of the congress, in whole or in part, impracticable, illegal or impossible.

4. LIABILITY

To the extent permitted by applicable law, the organizer disclaims all warranties or conditions, either express or implied, or any part of them in respect of any aspect of the congress. You acknowledge and agree that in accepting these booking and cancellation conditions you have not relied on any representation or warranty that is not expressly included in these booking conditions, and you agree that you shall have no remedy in respect of any misrepresentation which has not become a part of these booking conditions. To the fullest extent permitted by applicable law, the organizer excludes any liability for any damages, loss, injury, or liability whatsoever suffered out of or in connection with the congress and these booking conditions.
Nothing in these booking conditions purports to exclude or limit liability for gross negligence or willful intent or in respect of any liability that cannot be excluded or limited under applicable law. Only written agreements shall be valid. The place of jurisdiction shall be Vienna.
