Booking & Cancellation Conditions

The above-mentioned conference is organized by SONK (St.Gallen Oncology Conferences). Mondial Congress & Events is the appointed organizing agency who acts on behalf of SONK.

Finishing your booking constitutes a binding agreement to the booking and cancellation conditions. The organizer reserves the right to change or cancel your bookings in case you fail to make payment in due time, or do not qualify for the selected registration fee.

For all prices stated: If new, higher legal charges are introduced, these will be added to the contract price.
Any refunds will be made after the congress.

Registration
Fees for conference registration and networking events are cashed in Euro and include 20% VAT. The day of payment is decisive for the registration fee, not the day of registration (Early Fee - payment by December 16 2022; Regular Fee - payment by February 28 2023).

Cancellations must be made in writing to Mondial Congress & Events before December 16 2022. The cancellation handling fee is EUR 40,- net. No refunds will be made after December 16 2022.

For name changes and replacements, a modification fee of EUR 25,- net will be charged.

Registration for SG-BCC 2023 includes:

• conference documentation
• participation in the conference programme - scientific sessions and sponsored industry symposia
• attendance at the opening ceremony & welcome apéro on 15 March 2023
• admission to the industrial exhibition
• coffee breaks
• public transportation ticket (valid from 15 to 18 March 2023)
• certificate of attendance upon submission of an online feedback questionnaire after the conference
• free virtual access to live stream and on-demand videos of selected scientific sessions (on-demand recordings will be accessible for a limited time after the congress)

Participation in the congress
Without any exception, you agree to obey all regulations/rules imposed by the organizer or staff at the congress venue designated to carry out a successful and safe congress (this might be access regulations/control, compulsory safe distance to other people, compulsory wearing of face masks etc.). The regulations mandatory during SG-BCC 2023 conference will be communicated to all participants by email as well as on the conference website. (Link bereits hinterlegt)

Onsite, in the case of loss of the name badge, a replacement badge will only be provided against full payment of the applicable on-site registration fee. Forgotten badges will be replaced against a deposit of EUR 100,-

Delays or modifications in the programme, caused by whatever reason, do not entitle to reimbursement of registration fees and the organizer will not be liable to you for any cost incurred by you as a result.

It is strictly prohibited to record, reproduce or commercially reuse any visual and audio content presented in connection with the congress. 
If you are a speaker, you remain owner of the intellectual property rights of your content and you grant the organizer at no additional cost the right, to make use of this content meaning distributing it and making it publicly available, but always limited to the marketing purposes in the scope of SONK’s activities including the congresses.

Accommodation
All prices are stated in Euro for the total selected stay incl. breakfast, service charges and VAT. 

Individual hotel bookings (1-2 rooms) can only be confirmed upon receipt of a valid credit card guarantee (must be valid at the time of the conference).
Small group bookings (3-9 rooms) can only be confirmed upon receipt of the full prepayment or a valid credit card guarantee (must be valid at the time of the conference).
The payment and cancellation conditions for large groups (10+ rooms) are arranged within individual contracts.

The following conditions apply to individual hotel bookings and small group bookings (1-9 rooms):

Your booking is binding and can only be confirmed upon receipt of a valid credit card guarantee (must be valid at the time of the conference) respectively upon receipt of the full prepayment. As soon as Mondial GmbH & Co KG has received this, a confirmation will be sent by e-mail. It will confirm the name of your hotel, the duration of your stay and the total amount of your booking.

For cancellations received by Friday, November 18, the given credit card will be charged with a cancellation handling fee of EUR 30,- net, respectively the prepaid booking costs will be refunded less a cancellation handling fee of EUR 30,- net. For cancellations received after this date the given credit card will be charged with the amount of all nights.
Only written cancellations can be accepted.

For name changes, a modification fee of EUR 10,- net will be charged.

The number of nights booked is binding and will serve as the basis for your hotel invoice. In case of a no-show or early departure, the hotel may invoice all nights booked. 

The hotel and Mondial GmbH & Co KG are entitled to charge the given credit card with the amount resulting from the booking and cancellation conditions. 

Credit Card Guarantee: 
The credit card guarantee (together with your booking details) will be forwarded to the selected hotel. The booking is to be paid upon arrival at the hotel. The hotel reserves the right to test the credit card by pre-authorising one or all nights booked after the cancellation deadline respectively shortly before the arrival of the guest. 

Force Majeure
The organizer will not be liable if the conference is, in whole or in part, cancelled, rescheduled or postponed, or for any failure or delay to perform the obligations of the organizer under these terms, if such event results from anything beyond the reasonable control of the organizer (e.g. natural disasters, flood, riots, fire, flooding, acts of terror, war, labour strike, extreme weather, communicable disease such as epidemic or pandemic, malicious damage, compliance with any law or governmental order, or mechanical, electronic or communications failure or degradation, or any other emergency) or anything else that renders performance of the conference, in whole or in part, impracticable, illegal or impossible.

Liability
To the extent permitted by applicable law, the organizer disclaims all warranties or conditions, either express or implied, or any part of them in respect of any aspect of the SG-BCC 2023. You acknowledge and agree that in accepting these booking and cancellation conditions you have not relied on any representation or warranty that is not expressly included in these booking and cancellation conditions and you agree that you shall have no remedy in respect of any misrepresentation which has not become a part of these booking and cancellation conditions. To the fullest extent permitted by applicable law, the organizer excludes any liability for any damages, loss, injury, or liability whatsoever suffered out of or in connection with the SG-BCC 2023 and these booking and cancellation conditions.
Nothing in these booking and cancellation conditions purports to exclude or limit liability for gross negligence or willful intent or in respect of any liability that cannot be excluded or limited under applicable law. Only written agreements shall be valid. The place of jurisdiction shall be Vienna.
Participants are advised to take individual personal travel and health insurance for the trip.
